Questions? Ask the BossOps support team.

Email support@boss-ops.co.uk with the page you are using, what you expected and what happened. Include your company and site name, but never send passwords, activation tokens, bank details or private staff records.

Managers and admins can also open Ask Boops in their workspace for step-by-step product guidance. Boops does not replace your business’s approved safety procedures or professional advice.

1. Upload supplier invoices

  1. Open Kitchen, then Invoices. Choose files or drag supported invoices into the upload area; several files upload one after another.
  2. Review extracted supplier details, pack sizes, units and prices. Correct uncertain lines before approving.
  3. Approve only when the invoice matches the supplier document. Uploaded drafts do not change live product prices until approval.

Use the formats listed beside the file picker. If a scan is unclear or an extraction fails, use a clearer supported file and review the results; AI extraction is not guaranteed to read every document correctly.

2. Turn recipes into usable costs

  1. Open Kitchen, then Recipes, and import or create your recipe.
  2. Match each ingredient to the right product, including its pack size, unit and quantity. Review uncertain or ambiguous matches yourself.
  3. Check portions and selling prices. Approved invoice prices feed matched product costs; unmatched ingredients still need attention.

Importing a recipe is not the same as verifying its allergens or safety. Keep those details checked against your ingredients and approved procedures.

3. Assign daily compliance checks

  1. Select the site. Open Compliance, then Checklist library; create a checklist or customise a starter.
  2. Choose the responsible employee groups, review the questions and set an optional daily due time in London local time. Check the staff and site summary.
  3. Switch on Publish to staff app and save. Choose View in To-do checks to confirm the task. A draft remains hidden from staff.
  4. One assigned person completes the shared site checklist for that day. Managers can review progress, issues and recorded history from To-do checks.

Published checklists repeat daily. They are shared by the selected groups, not separate tasks for every employee. Historical schedule visibility starts when schedule tracking was introduced; older unstarted checks cannot be reconstructed reliably.

4. Set up staff access and clocking

  1. Open Team, then Employees. Check each person’s email, role, site assignments and employee group before inviting them.
  2. Publish the rota when it is ready. Check Time & attendance settings before allowing employee phone clocking.
  3. For a shared clocking tablet, create a PinPad under Time & attendance and open its one-time activation link on that device. Install the PinPad app from that device’s browser.
  4. Review clocking exceptions and approve attendance before payroll export. Keep manager access separate from a shared staff device.

A PinPad activation link is single-use. Create a fresh link in manager setup if the original expires; never share a manager password to activate a staff device.

Before you start

Have supplier invoices, recipe quantities, site equipment details and staff assignments ready. Start with a few records, check them, then add the rest. Access depends on your role and selected site.
